Week 3 – Develop Your Annual Program Calendar

Longhorn Council Summer Recruitment Series: Week 3

Develop Your Annual Program Calendar
June 15 – 21, 2026

With your recruitment team in place, clear goals established, and a thorough membership review complete, you're ready to build an annual program calendar that shows families exactly what they're joining. A well-planned calendar turns interest into commitment by painting a vivid picture of fun, adventure, and community all year long.

Welcome to Week 3 of the 2026 Longhorn Council Summer Recruitment Planning Series. The strongest units across Longhorn Council stand out because they give prospective families a clear, exciting roadmap from the very first conversation. When families see summer activities they can join immediately and a full year of engaging experiences ahead, they are far more likely to sign up and stay involved for the long haul.

What to Do This Week (June 15–21)

1. Create a Complete 12-Month Program Calendar

Work with your committee and key leaders to map out the full year. Include regular den and troop meetings, pack and troop events, summer activities, family nights, and high-adventure opportunities that new members can join right away.

2. Highlight Summer Activities for Immediate Participation

Make sure the calendar prominently features events happening in June, July, and August. New Scouts and their families should see clear, welcoming entry points without waiting until the school year begins.

3. Prepare Easy-to-Share Versions of the Calendar

Develop formats ready for PDF handouts, social media graphics, and a simple QR code that links directly to the full calendar. This makes it effortless for prospects to access, save, and share the details.

Tips for Success

  • Follow the principle of "Keep It Simple, Make It Fun." Prioritize low-prep, high-appeal events such as bike rides, fishing derbies, STEM nights, or day camps. These activities require minimal planning yet create lasting memories for new families.
  • Make the calendar accessible and visual. Parents appreciate knowing exact dates and details in advance so Scouting fits naturally into their busy North Texas schedules.
  • Balance routine meetings with larger events. A healthy mix of small-group adventures and big celebrations keeps energy high and helps build a strong sense of community.
  • Include parent-friendly language such as "No prior experience needed—adults learn and participate alongside the youth." This simple reassurance helps busy families feel welcome and capable from day one.

By the End of June 21, You Should Have:

✅ A complete, visually appealing annual program calendar
✅ Summer activities clearly highlighted for immediate entry points
✅ Shareable versions ready for distribution and digital promotion

This calendar will become one of your most powerful recruiting tools throughout the summer and fall, helping families envision their full Scouting journey from the start.

Stay tuned for Week 4 (June 22–28): Strengthening Your Unit's Online and Digital Presence.
