Longhorn Council Summer Recruitment Series: Week 12
Twelve weeks of focused preparation come together this week. Your dates are set, your team is trained, materials are ready, and promotions are underway. The final step is a thorough readiness check and a clear team huddle so everyone steps into the fall recruitment window with confidence.
Welcome to Week 12 of our 2026 Longhorn Council Summer Recruitment Planning Series. This week is about finishing every remaining detail, rehearsing the experience, and celebrating the work your unit has done so you are fully prepared for mid-to-late August promotions and Join Nights.
What to Do This Week (August 17–23)
1. Complete a Full Logistics and Materials Checklist
Verify welcome packets, applications, sign-in sheets, tracking tools, yard signs, and any other items needed for events and school tables.
2. Hold a Final Team Huddle and Run a Dress-Rehearsal of Your Join Night Flow
Walk through setup, greeting, activity zones, parent information, and follow-up so the entire team knows exactly how the evening will run.
3. Confirm Immediate Follow-Up Systems and Paperwork Processes
Assign who will make contact within 48 hours of any inquiry and make sure the plan for submitting registrations to council is clear and timely.
Tips & Tricks for Success
- Treat the dress-rehearsal like the real event. Walk the space, practice transitions, and solve small issues before families arrive.
- Celebrate the team. A short moment of recognition reminds everyone that most families who attend want to join and that the unit’s job is simply to make joining easy and welcoming.
- Double-check that every volunteer has current Youth Protection Training and knows their exact role for each event.
- Keep a simple master checklist that covers materials, people, promotions, and follow-up so nothing is overlooked in the final days.
